Guide for parks

Changeover day at your holiday park: planning and checklist

On a changeover day, guests leave, the accommodation is checked and cleaned, and the next guests arrive. This guide helps you plan the day in steps, divide the work per team and not forget anything.

The day in steps

A changeover day from departure to arrival

Every park works differently, but the order is often the same. Adjust the steps to your accommodations and teams.

  1. Prepare the day

The evening before, check which accommodations change over, who departs and who arrives, and which arrival is the earliest.

    • Show per accommodation when it needs to be ready.
    • Take extra requests into account, such as extra bed linen.
  2. Departure and check

As soon as guests leave, a staff member checks the accommodation for damage and defects.

    • Note what you see, with a photo.
    • A defect that does not need to be fixed before the next arrival, you schedule for later.
  3. Cleaning

Cleaning starts with the accommodations that are needed first again.

    • The team sees in the app which accommodations are next.
    • A defect found becomes a report, not a verbal message.
  4. Technical follow-up

The technical service fixes what must be done before arrival, such as a dripping tap or a lamp that does not work.

    • Anything that stays open gets an owner and a date.
  5. Final check and release

A last look before the accommodation counts as ready, so reception knows that guests can move in.

  6. Arrival

Reception welcomes the guests and picks up reports from the first hours.

Checklist for each team

Who watches what

A short list per team prevents things falling between teams.

Reception

Keeps an overview of departures and arrivals and handles guest questions.

  • Which accommodations change over today, and at what time?
  • Are there guests with an early arrival or late departure?
  • Have guest reports been turned into a task?

Cleaning

Prepares the accommodations in the order of the arrivals.

  • Does every colleague know which accommodations they have today?
  • Have extra requests, such as bed linen, been taken care of?
  • Has a defect found been reported with a photo?

Technical service

Fixes defects that must be done before the next arrival.

  • Which defects must be done today?
  • Which can wait, and until when?
  • Is the status back at reception?

Defects and guest reports

What you do with a defect on the changeover day

A defect you find during cleaning belongs with the technical service, not in a message that gets lost. Record it as a report, with object and photo, and turn it into a task for the right team.

Guests can report themselves, for example via a public link or QR code. That way a dripping tap does not come in only after the weekend, but at the moment it happens.

Season and peak pressure

Working with temporary staff

In season, there are often colleagues who do not know the park yet. What helps then: a clear task per person, a short instruction and everything on the phone, also in places where there is no signal.

With the Verbleif app, staff see their own tasks and keep working without an internet connection. Changes are shared as soon as there is a connection again.

Software

Where software helps, and where it does not

Software does not replace good agreements. It does help to make agreements visible: who does what, when it must be ready and what has been reported.

Your booking system knows who arrives and departs. Verbleif adds task allocation, reports and follow-up, and stays connected with that system.

Frequently asked questions

Questions about the changeover day

How do I plan a changeover day?

Start with the arrivals: which accommodation must be ready first. Then work back to departure, check, cleaning and technical follow-up.

Who does the final check?

That differs per park. Agree who releases the accommodation, so reception knows that guests can move in.

What if I find a defect during cleaning?

Report it right away, with object and photo, and have it become a task for the technical service. That makes clear who takes it on and when.

How do I work with temporary staff?

Give each colleague their own list of tasks, a short instruction and access to the app. That way you do not have to explain at every accommodation what needs to happen.

Can I try Verbleif first?

Yes. You can request a demo environment to try Verbleif free for 30 days. We discuss which set-up you need.
